the guide

Every screen, chapter by chapter.

This is the same guide a studio reads inside its Portal — one part for the team, one for their clients — written here for a studio that hasn’t started yet. Chapters for modules you switch off disappear from your copy. The short version is on the questions page.

Team: Getting around · Your dashboard · Team Studio · Projects & clients · Clients' portal · Studio Tools · Storefront · Manage · Accounting · Settings & account
Clients: Signing in and getting around · Your projects · Brand, social, merch and the shop · Tools · Billing & your profile · Emails and help

part one

For the team

01 — getting around

Two doors, one Portal: the team works here, clients see their side of the same work at the projects door.

01How do I sign in?

There's no password. Enter your work email at team.yourstudio.com and we send a link that's good for 30 minutes and works once. Click it on the device you want to use — the link signs in the browser it's opened in, so a link opened in a mail app on your phone signs in your phone.

  1. Go to team.yourstudio.com and enter the email on your team record.
  2. Open the email and click Sign in. You stay signed in on that browser until you sign out.
  3. Nothing arrived? Check spam, then ask the owner to confirm the address on your record — the link only goes to the exact address we hold.
02What's the difference between the team door and the projects door?

team.yourstudio.com is the team's side — everything. projects.yourstudio.com is the client's side: the projects, files, invoices and tools we've shared with them, and nothing else. Clients can't see hours, internal notes, other clients or any of Manage. A team member who signs in at the client door is sent back to the team side automatically.

03How is the sidebar organised?

The bands — Your Dashboard, Team Studio, Projects, Tools, Storefront, Manage — open and close like tabs; the band holding the page you're on opens when you arrive. What you see depends on your role: Manage is the owner's and managers' territory, the storefront shows to those who work it, and modules the studio has switched off don't appear at all.

04Where do I start on a Monday?

Your Plate (Projects › Your Plate). It's the page that answers "what needs me now": the three most urgent things in red, the three rolling up next in yellow, yours first and then everyone's. Urgency is computed from due dates and status, with the owner's or a manager's pin riding above the arithmetic.

05How do I find something fast?

The search box in the top bar covers clients, projects, tasks, people and the handbook in one query. Results are team-only — nothing a client could see differently.

06Can I switch to dark mode?

The sun/moon toggle at the bottom of the sidebar. It's per browser, so your laptop and your phone can disagree.

07How do @mentions and comments work?

Every task and project has a thread. Type @ and a name to tag a teammate (or a client contact on a shared task); they get an email with the comment and a link back. A comment is private to the team unless you mark it shared with the client, and a file attached to a shared comment is downloadable from the client's Files page — an unshared comment's file never is.

02 — your dashboard

Your own record, your hours, your time off.

01What's on Your Profile?

Your name as you'd like it shown, photo, title, the get-to-know-you answers clients see on their Team page, and your pay and PTO details where the modules are on. Preferred name is what the Portal calls you everywhere; legal name stays on HR records.

02How do I log time?

Time & Attendance (Your Dashboard) holds your week. Start a timer on a task from its page, or log hours after the fact against a task or a client — every hour belongs to something billable or a named overhead. The week closes when your manager approves it; approved hours flow to the billing desk and the utilization report.

  1. Open the task and press Start on its timer, or go to Time & Attendance and add an entry by hand.
  2. Pick the task (or the client and a note) and the hours; save.
  3. At the end of the week check your total, then leave it for approval.
03How do I request time off?

Time off Request (Your Dashboard): pick the days, add a note, send. The owner gets an email, approves or declines, and you get the answer by email. Approved days come off your balance and show on the team calendar; they also count against expected hours so the utilization report never reads you as under capacity for a week you were away.

03 — team studio

The room the team talks in, and what's kept on the record.

01What's the message board for?

Boards group conversation the way master projects group work; topics are the threads. Two fixtures frame it: Pops of Gratitude at the top (public thanks, or a private note to the owner), and at the bottom one evergreen board per teammate — their direct line with the owner, visible only to the two of them.

02How do Pops & Points work?

Drop a pop to thank someone; it lands timestamped on their profile for reviews, and earns them points. Your balance is private; the week's leader is the one public number. Points are spent in the store the owner stocks — a day off, lunch, whatever's on the shelves. The owner gets a note for each order and marks it fulfilled.

03What does the Team Directory show?

Approved fields only: preferred and legal name, photo, title, department and work email. No addresses, phones or birthdays — those stay in HR.

04Where's the handbook, and do I have to sign it?

Handbook, under the team band. Sections that require acknowledgment show a button at the end; your acknowledgment is dated and kept on your record. When the owner publishes a change to a section you've signed, you'll be asked to read and acknowledge it again.

04 — projects & clients

Clients hold master projects, master projects hold projects, projects hold tasks. Everything else is a view of that.

01Client, master project, project, task — what's the shape?

A client is the company. A master project is a long-running engagement or a campaign ("2026 rebrand"). Projects are the pieces of work inside it, each with a wrap date, and tasks are the rows people actually do, with a due date and whose plate they're on. All Clients is the grid, one card per client; All Projects is the flat cross-client list with filters for whose client, whose plate, due when and what's on fire — the filters live in the URL, so "overdue for Ashley" is a bookmarkable address.

02How do I start a new project?

From the client's page: open the master project it belongs to (or add one), then Add project. Give it a name and a wrap date and add the first tasks. It's hidden from the client until you share it.

  1. All Clients › the client › the master project.
  2. Add project: name, wrap date, who leads it.
  3. Add tasks with due dates and put each on someone's plate.
  4. When it's ready for the client's eyes, switch on Share with client on the project.
03What does a client actually see of a project?

Only projects you've shared, and within them only task names, status, due dates, shared comments and shared files. Never hours, internal comments, or anything in an unshared or archived project. A client can tick a task done and rearrange their own board — which tells you more than an email would — but can't edit anything else.

04A client submitted a project request — what now?

It lands in New Project Requests (Projects band), already attached to the right client. Read it, ask questions off-page if you need to, then approve — which creates the real, client-visible project — or decline with a note. The client watches its status on their own Plate.

05What's Flight Pattern?

The holding stage: projects we've accepted or paused that are waiting on the client for something. Parked there they stay off the boards and the schedule until cleared for takeoff. The client sees the same list on their side, phrased as what still needs their input.

06How do checklists work?

One live list per client, worked from both sides: either side ticks rows, picks who owns each, and adds what's missing. When a row becomes real work, push it to the board and it turns into a task. Templates are the starting points — open any checklist and Save as a template to add one; rows marked Not needed are left out.

  1. Checklists (Projects band) › the client › New from template, or start blank.
  2. Tick, assign and add rows as the work moves; the client sees the same list under Checklists.
  3. Push a row to the board when it needs a due date and a plate.
07What's on the Calendar?

Every client's wrap dates, task due dates and punch-list items in one month view, with the same filters as All Projects. Team eyes only; clients have their own calendar showing just their work.

08What's Recent Activity?

Everything said on every project, newest first — comments, ticks, files — filterable by client and person. Pin anything you want to come back to.

09What's the schedule?

A master project drawn as a chart: each project a bar from start to wrap, with sign-off points the client can approve from their side. Open it from the client's page › Schedule.

10What are Story Briefs?

Short briefs for a client's content — a story, a post, a campaign idea — drafted on the client's page and shared as drafts or ready. The client reads them under Story Briefs and replies in the thread.

05 — clients' portal

What the projects.yourstudio.com door shows, and how to let someone in.

01How do I give a client access?

From the client's profile (All Clients › the client › Profile), under Portal contacts. Add the person's name and email and press Invite; they get a sign-in link by email and are in. There's no account to create and no password — the email address is the key.

  1. All Clients › the client › Profile › Portal contacts.
  2. Add the contact and press Invite.
  3. Tick billing & documents for the people who should see invoices, billing details and shared documents. Everyone else sees projects only.
02One person works with us on two clients — do they need two logins?

No. Add the same email as a portal contact on each client; when they sign in they get a switcher at the top of their portal and move between boards.

03What can a client see, in one list?

Overview (what's moving, what's waiting on them), their projects and tasks, Recent Activity on their own work (with a "needs me" view of comments they were tagged in), Calendar, New Project Request, Checklists, Flight Pattern, Brand Styles, Files (a tree of everything shared with them, drawn from the board's own structure), and the sections you've switched on for them — Social Calendar, Merch Concepts, the store, Story Briefs, and Tools where the studio has them. Billing contacts also get Profile: invoices, pay, documents.

04Where do the per-client switches live?

On the client's page: Merch, Social and the store each have a switch that puts that section in the client's sidebar. Brand Styles is on for every client; what it shows is whatever is on the client's Brand tab.

05How do files reach a client?

Attach a file to a task, a project or a shared comment and it appears in the client's Files page under that project — nobody builds folders; the structure is the board's own. Brand files go on the client's Brand tab and show first. A file that isn't listed in Files can't be downloaded by the client, full stop.

06 — studio tools

The design desk — moodboards, colors, collateral, motion and the odd-job tools — beside the clients they're for.

01How does a client's Brand Styles page get filled?

From the client's page › Brand: upload logos (SVG, PNG, PDF), fonts and a designed guide if there is one, and set the brand colors — each color becomes a paint chip with hex, RGB, CMYK, the nearest Pantone C and the nearest Sherwin-Williams match, and the whole palette downloads as an Adobe swatch file (.ase) or a transparent PNG board. With a guide uploaded, the guide is the page and the kit sits under it.

02Moodboards

Two kinds: a deck on the 18×12 vision-board template, or an endless canvas with 12×18 artboards laid over for printing. The library has three shelves — Inspiration, Client (that client's uploads) and Branding (their logos, ready to drag in). Drop images, text, notes and swatches anywhere; a layout grid with snapping covers the canvas. Print or present straight from the board, and share a board to the client's portal with its switch; a board a client starts is visible to you too.

  1. Moodboards › New board › pick a client and a kind.
  2. Upload to the library (the Upload button at the top of the shelf) or drag from Branding.
  3. Size slider for contained images; double-click a note to edit; the ⓘ next to the tools explains the rest.
  4. Share with client when it's ready; Print or Present from the top bar.
03Colors

Generate palettes by harmony or by chance, lock what you like, paste a Coolors link, or pull ten colors from a photo. Every swatch shows its codes and nearest matches. Save a palette as an idea, or hand it to a client as their brand colors — the palette the brand styles page, Merch, Marquee and the production sheets all read. Ideas a client saves on their side show here too.

04Business Collateral

Business cards, letterhead, menus, posters, table tents — set up once per client from a template with their brand kit, then print-ready files on demand. A client can download the files or order a run from their shelf; the run lands on the press board.

05Marquee

Quick motion for social — lower thirds, header and footer bars, logo stingers — in the client's colors and type, rendered right here. No Resolve, no After Effects. Pick the client, pick the piece, type the words, download the clip.

06Slicer

A picture cut for a carousel: a seamless panorama across the slides, a zoom that tightens slide by slide, a profile-grid puzzle, or one picture per slide. Drag it into place, download the slides numbered in posting order. Nothing is uploaded — it all happens in the browser.

07Studio Fonts

The studio's own type library, shared with Marquee, the moodboards, collateral and Lettermark. Upload a font once and every tool can set it.

07 — storefront

Inventory with per-unit cost, products priced from it, orders on the board, deliveries out the door.

01How does an order move?

Every order — from a client's shelf, a collateral run, or one you enter by hand — lands on the board as open. Tick it along: queued, in progress, ready, delivered. The client watches the same states on their side and gets the "ready" email, addressed by name to whoever you set as the contact.

02What's in Inventory and Products?

Inventory is what you stock, each item with its cost per unit and pack. Products are priced from it, so margin is visible on every line. A product with options becomes a Shopify product with a variant per combination when your store is connected.

03Deliveries

Tick finished orders on the board to start a delivery; group what's going to the same address, print the slip, mark it delivered. The client's delivery locations come from their profile.

04Invoicing, Estimates, Revenue, Customersowner, payroll admin

Storefront's own money desk: invoices for orders, estimates before the work, revenue by month and by customer. Customers can be portal clients (open their profile and tick the storefront) or walk-ins — just a name and where the invoice goes, no board, no portal.

05How does a client order from their shelf?

Set up the items on the client's page (Store) — each is a preset with a price and the client's art. The client picks a quantity on their side and the order lands on the board; they get an email when it's ready.

08 — manage

The owner's desk, with a seat for managers where approvals are concerned.

01How do I add a teammate, and what do the roles mean?owner

Manage › The Team › Add. A record needs a name, a work email (the sign-in key) and a title. Roles stack: Manager approves time and time off for their reports and sees the texting inbox; HR admin runs people records, offers and proposals; Payroll admin runs compensation, PTO and the money reports; Print manager works the storefront; Social manager runs clients' feeds; Accountant is an outside partner's narrow door. The nav hides what a role can't use, but every page checks for itself.

  1. Manage › The Team › Add teammate.
  2. Name, work email, title, department; tick the roles.
  3. Tell them to sign in at the team door — the email link works the moment the record exists.
02Client Profiles and Client Contacts

Client Profiles is every client's record: logo, header image, billing model (hourly, quoted, retainer), billing details, delivery locations, documents, portal contacts. Client Contacts is the one-sheet of billing contacts across all clients, with gaps flagged — an invoice can't go out to an empty address.

03Approving time and time offowner, managers

Time Clock Approvals shows each person's week; approve, or send it back with a note. PTO Approvals lists requests waiting on you; approve or decline with a note and the person is emailed. Both are the gate to billing — unapproved hours don't reach the billing desk.

04Stocking the Pops & Points storeowner

Manage › Pops & Points: add items with a point price. Orders arrive as notes; a day off isn't added to PTO automatically — add the hours on their profile, then mark the order fulfilled.

05Editing the handbookowner

Manage › Edit Handbook: sections with headings, each marked whether it needs acknowledgment. Publishing a change to a signed section asks everyone to re-acknowledge. Removed sections are kept for the record and can be restored with their history.

06Sending an announcementowner, payroll admin

Manage › Announcements: one email to everyone using the Portal, team or clients, sent individually and privately. A test-to-self goes first so nothing goes out unseen. Send from the live door, not a staging one — the links in the email point back to wherever it was sent from.

07Textsowner, managers

The shared inbox for the business number: leads, clients and voicemails, newest activity first, so nobody's reply depends on whose pocket buzzed. Reply from the thread; a lead's number stays with the conversation when they become a client.

08Social Accountsowner, social managers

Every client whose feed we run, on one page: which have drafts waiting, what's scheduled next, where publishing is connected. One click to any client's calendar, where posts are drafted, scheduled and published; the client reads the same calendar on their side, read-only.

09What's Audit?owner

A trail of who did what and when — sign-ins, changes to money and people records, settings — in the studio's own time zone. Read it months later; that's what it's for.

09 — accounting

The ledger, the billing desk, and the numbers behind them.

01How is Invoicing laid out?

Every invoice ever issued, with what's outstanding and what the year has billed on top, and five shelves below in the order they need attention: overdue, open, not sent, estimates, then paid and void. One search and filter row works all five. Reads are open to the accountant; anything that moves a number lives on the invoice page itself.

02How do I bill the week's work?

To Invoice is the billing desk, three piles: invoices drafted but never sent; billable work undecided, grouped by who pays; and recently waived, so a wrong click is one click to undo. Retainer clients' tasks never appear — they're covered by the monthly fee, drafted here on the 1st.

  1. Manage › To Invoice.
  2. Tick the tasks for one payer and press Create invoice — it opens prefilled with the hours and the client's rates.
  3. Or waive a task as covered by retainer / no charge; it moves to the undo pile.
  4. Send from the invoice page; the client gets it with a pay button.
03Retainers

A client joins this page when their profile's billing model is Retainer (or Retainer + quoted) with a monthly amount. Set the start month and, if there is one, a final month (inclusive); the monthly invoice drafts itself on the 1st, or by the button.

04Prices & Packages

The studio's rate card: hourly rates by kind of work, and fixed-price packages. New invoices and proposals pull from here; a client's profile can override a rate.

05How do clients pay?

Every invoice carries a pay link — card or bank transfer through the studio's own Stripe account once it's connected in Settings › Invoicing. A client can also tell us a check is on its way, which pauses reminders. Autopay can be set on a client's profile for retainers.

06Proposalsowner, hr admin

Priced blocks assembled into a proposal the client signs online. Signed proposals are kept with the signature record, and the signed copy goes to the client by email.

07Reports & Billingowner, payroll admin

Who is busy, on what, and whether any client is eating the week. Utilization is logged ÷ expected, with expected already net of holidays and approved time off, so nobody reads as under capacity for a week they were away.

08Bank Statementsowner

Bank feeds through Plaid, matched against invoices: a deposit finds its invoice and marks it paid; what doesn't match is listed for you to resolve.

09Partners — the accountant's doorowner

Outside professionals with a narrow door: the accountant gets Accounting plus read-only Team Pay, signs in by email link, and sees nothing else. Add or remove them under Manage › Partners.

10 — settings & account

The business itself, and the subscription that runs it.

01What's where in Settings?owner

Workspace: name, mark, colors, email, addresses, and the Modules switches. Team & access: people, offers and onboarding, sign-in, approvals. Invoicing: how an invoice, estimate or proposal looks, is numbered and gets paid. Accounting: bank feeds and who outside the team may look at the money. Projects & clients: what clients see in their portal and where client files live. Storefront: inventory and products. Communication: the words the Portal sends and the channels it uses. Connections: outside services on your own accounts, each with a key, a test and a switch.

02How do I switch a part of the Portal on or off?owner

Settings › Workspace › Modules. Each module is a switch: Time & attendance, Schedules, Invoicing, Proposals, Bank statements, Handbook, Time off, Payroll, Brand styles, Storefront, Social, Texting, Studio tools. Off removes it from every sidebar and every page; nothing is deleted, so switching back on finds everything where it was.

03Changing the logo and the colorsowner

Settings › Workspace › Logo (a light and a dark version) and Colors — the accent and the five sidebar bands. Both doors and every email pick them up at once.

04Which emails does the Portal send, and can I turn some off?owner

Settings › Communication › Email notifications lists every kind of email the Portal sends — task assigned, comment, invoice sent, time off decided and so on — each with a switch. A muted kind is logged but never sent. The Outbox shows everything sent, failed or muted, newest first, so "did they get it?" has an answer.

05Connectionsowner

AI assistant, shipping, texting, Shopify, Stripe, Plaid, Frame.io — each on your own account with a key you paste, a Test button, and a switch. Nothing runs until it's on.

06What's on the Account page?owner

Your plan and what it includes, the add-ons with their switches (Studio Tools adds moodboards, colors, collateral, Marquee, Slicer and fonts to both doors), and a thread straight to the people who run the Portal. A plan change is a message to us; we switch it and confirm there.

07Something's wrong — who do I tell?

Write to hello@portalui.com, or leave the note in the thread on the Account page — it reaches the people who built the Portal, and the reply comes back the same way.

part two

For clients

11 — signing in and getting around

Your projects with your studio, in one place.

01How do I sign in?

Go to projects.yourstudio.com, enter the email address your studio works with you on, and we send a sign-in link. It's good for 30 minutes and works once; no password to remember. You stay signed in on that browser until you sign out.

  1. Open projects.yourstudio.com and enter your email.
  2. Open the email and press Sign in to The Portal.
  3. Nothing arrived? Check spam, then ask your your studio contact to confirm the address they invited — the link only goes to that exact address.
02It says my address can't sign in here.

The address has to match the one your studio invited. If you've started using a new address, tell your contact and they'll add it. (If you're on the your studio team, your door is team.yourstudio.com.)

03I work with them on more than one business — how do I switch?

If the same email is a contact on several boards, a switcher appears at the top of the page. Pick the business and the whole portal changes over.

04What's in the sidebar?

Your Dashboard (Overview, Your Plate, Team your studio, and Profile if you handle billing), Projects (your projects, activity, calendar, new requests, checklists, Flight Pattern), Brand, and the sections your studio has opened for you — Social, Merch, Tools, Store, Assets.

05Where should I look first?

Overview: what's moving, what's waiting on you, and the latest word, with the full board one click away. Your Plate is the personal version — what's waiting on your reply, the requests you've sent in, and your own recent comments.

12 — your projects

The same board the team works from, with everything that's yours to see.

01How do I read the projects page?

Each project is a card with its tasks: what's done, what's in progress, what's due when. You can tick a task done and drag your own board into the order that makes sense to you — the team sees both, and it tells them more than an email would.

02How do I leave feedback?

Open the task or project and write in the thread. Type @ and a name to tag someone on the your studio team; they get an email with your comment and a link back. Your comments and theirs stay on the work, so the history is always in one place.

03What's Recent Activity?

Everything said on your projects, newest first — or just the comments where you were tagged, which is the "what needs me" view.

04Where are my files?

Files, in the top tabs: a tree of everything shared with you — brand files first, then each project and its tasks. Nobody names folders; the structure is the board's own. Anything you can see there you can download.

05How do I ask for new work?

Submit a New Project (Projects band): describe what you need, when, and anything to attach. It lands on the team's review queue already attached to your account; when they approve it, it becomes a project on your board, and you can watch its status on Your Plate until then.

06What's Flight Pattern?

Projects that are paused and waiting on something from you — an approval, content, a decision. It gathers what still needs your input in one place so nothing slips.

07Checklists

A live list your studio and you work together — a launch, a campaign, an opening. Tick rows, pick who owns what, add anything missing. When a row becomes real work the team pushes it to the board as a task.

08Calendar

Your month: what's wrapping, what's due, what's on the punch list — only the work you can already see.

09Story Briefs

Short briefs for your content — a story, a post, a campaign idea. A light outline is a draft; a firmer one is ready to go. Reply in the thread.

10Team your studio

The people behind the work: a face, a name, a title, the @handle to tag them with, and the get-to-know-you answers each wrote themselves.

13 — brand, social, merch and the shop

The sections that appear as your account grows.

01Brand Styles

Your logos as pictures, your fonts, and your colors as paint chips — name, hex, RGB, CMYK, nearest Pantone and Sherwin-Williams. Download any logo, or the whole palette as an Adobe swatch file (.ase) for Illustrator, Photoshop and InDesign, or as a transparent PNG board. If a designed brand guide exists, it's the page and the kit sits under it.

02Social Calendar

What's scheduled and what's posted on the feeds the team runs for you, read-only. Feedback on a post belongs in the project thread where the team works.

03Merch Concepts

Every apparel and goods concept drawn up for you. Open one to star it and leave notes — they go straight to the team — and watch its status move from concept to approved to in production.

04Store

Your shelf at Storefront: the items set up for you — your products — each reorderable in any quantity. An order lands on their board and you watch it move: queued, in progress, ready, delivered. You get an email when it's ready.

  1. Store › the item › pick a quantity › Order.
  2. Watch the status on the same page; the ready email comes to the contact on file.
05Assets

Links out to video review and photo galleries the team has set up for you, with the PIN where one is needed.

14 — tools

Three of the studio's own tools, open to you.

01Moodboards

Start a deck on the vision-board template or an open canvas. Upload your own inspiration, add notes and swatches, print or present from the page. Boards your studio shares with you show here too — make your own copy of one to build on. Boards you start are visible to the team, so it works both ways.

  1. Tools › Moodboards › New board.
  2. Upload to the library, drag images on, add notes and swatches.
  3. Print or Present from the top bar; the team sees the board as you leave it.
02Colors

Generate palettes by harmony or by chance, lock what you like, paste a Coolors link, or pull colors from a photo. Save a palette as an idea and the team sees it — an easy way to hand them a direction. Download any palette as .ase or as a PNG board.

03Slicer

Cut a wide image into a seamless Instagram carousel, or a tall one into a profile grid. Nothing is uploaded — it happens in your browser — and the slides download numbered in posting order.

15 — billing & your profile

For the people on your side who handle the money.

01What's on Profile?

Who we bill and where, every invoice your studio has sent you, and the documents you share with them (a signed agreement, a tax-exempt certificate). Only contacts with billing access see it — a team member who works the projects doesn't.

02How do I pay an invoice?

Open it from Profile or from the email and press Pay — card or bank transfer. If a check is on its way, say so on the invoice and reminders pause.

03A colleague needs to see invoices too.

Ask your your studio contact to add them as a portal contact with billing access.

16 — emails and help

01Which emails will I get?

A sign-in link when you ask for one; a note when you're tagged in a comment, a task is waiting on you, a request is approved, a file is shared, an invoice is sent, or an order is ready. Each links straight to the thing. Reply to any of them and it reaches the team.

02Something's not working.

Write to hello@portalui.com — a screenshot helps. If the sign-in link has expired, just ask for a new one from the sign-in page.
